Joining the Committee is an excellent opportunity to apply your skills and positively impact your community.
The purpose of the Harvest Days Festival Committee is to provide leadership, organize activities, staff, and maintain ongoing communication with all stakeholders for the Harvest Days Festival (Event), which takes place on the first Saturday of August.
Time Commitment
Committee members are expected to serve a term of one year. The committee will meet approximately 6-10 times, from October through August. Members must be available to volunteer during the festival.
Roles and Responsibilities
Committee Members
The Committee’s responsibilities include:
Developing and implementing a comprehensive event plan (Event Plan) that includes:
Goals
Theme
Implementation timeline
Identification of required city resources
Selection of entertainment and activities
Selection of food trucks, vendors, parade participants
Performance schedule/script
Technical needs
Volunteer plan
Sources and uses Budget
Sponsorship opportunities, if applicable
Coordinating with Event Manager to implement the Event Plan.
Recruiting sponsors, if applicable.
Coordinating and supporting the flow of information between the Committee, Midvale City (City), Unified Fire Authority (UFA), and Unified Police Department (UPD).
Volunteering on the day of the festival to help ensure a smooth and safe event.
Monitoring the implementation of the Event Plan.
Providing monthly updates to the City Council.
Residents must be 18 years or older and reside or work within Midvale City boundaries to apply.
Committee Chair
The Chair shall be appointed by the mayor, with the advice and consent of the City Council. The Chairs duties shall include:
Coordinating with City Recorder to ensure proper noticing of agendas and meeting minutes.
Convening Committee meetings.
Supporting the Committee to develop a comprehensive Event Plan.
Communicating regularly with Event Manager and city staff.
Providing updates to the City Council on the progress of Committee.
Working within the city’s budget.
Coordinating and supporting the flow of information between the Committee, City, UFA, and UPD.
On the day of the festival:
Be available throughout the entire festival.
Address all challenges in a timely manner.
Coordinate with Event Manager, city staff, UPD, UFA to ensure smooth and safe operations.
Leading an evaluation after the event.
